Description

Le greffier est responsable de toutes les fonctions du service du greffe de la Ville telles que définies dans la Loi sur les cités et villes, notamment aux articles 85 à 96, et dans les autres lois afférentes. Il ou elle est responsable de planifier, diriger, coordonner et contrôler les activités du service du greffe.

Responsabilités

Assister aux séances ordinaires et extraordinaires du conseil municipal ainsi qu’aux séances préparatoires (plénières) et dresser le procès-verbal de tous ses actes et délibérations.

Coordonner l’exécution des décisions du conseil et de la direction générale et en assurer le suivi.

Garder les copies et les extraits, certifiés par le greffier, des livres, registres, archives, documents et papiers conservés dans le bureau de la municipalité.

Traiter la correspondance adressée au conseil municipal.

Préparer et rendre disponible les avis de convocation, l’ordre du jour des séances ordinaires et extraordinaires, les projets de résolutions, les projets de règlements, les avis de motion et les documents nécessaires à l’étude des sujets relatifs à l’ordre du jour.

Être responsable et assurer la garde des livres, registres, plans, cartes, archives et autres documents et papiers appartenant à la municipalité, ou qui sont produits, déposés et conservés dans le bureau de la municipalité.

Être responsable de la garde et de l’accessibilité aux archives et de la gestion des documents, il doit contrôler, indexer, classifier et classer, selon le plan et le calendrier de conservation.

Préparer, publier et afficher les avis publics concernant l’adoption et l’entrée en vigueur des règlements, budgets, programmes d’immobilisation, lors de la période électorale, etc.

S’assurer que la section « Greffe » du site Internet de la Ville est à jour et que tous les documents et les informations publiques sont publiés dans les délais requis.

Procéder à la refonte règlementaire, s’assurer que le livre des règlements est à jour et valider que les chemises des règlements déjà adoptés sont complètes.

Agir à titre de président d’élection lors de la procédure relative à l’adoption de règlements d’emprunt et de référendums.

S’assurer du suivi de toute la procédure relative aux soumissions.

Recevoir le serment d’office du maire et des conseillers.

Être responsable de l’accès aux documents et la protection des renseignements personnels en vertu de la Loi sur l’accès aux documents des organismes publics et sur la protection des renseignements personnels.

Être responsable du dossier des assurances (réception et traitement des réclamations, communications avec l’assureur).

Apporter du soutien à la direction générale.

Summary:

The temporary Executive Assistant (EA) is responsible for providing administrative and logistical support to the Band Manager for all areas of the office. This position’s responsibilities include but are not limited to, office organization, filing and records management, travel arrangements, meetings, agendas, packages and events coordination, taking, recording and distributing minutes as well as human resources administration. This role also requires someone who is highly organized and detail-oriented, able to maintain a high degree of confidentiality, tact, and professionalism to interact with employees, management, and the public.

What you will do:

1. Completes administrative duties which includes filing, photocopying, taking and forwarding phone calls,
2. Provides direct administrative support to all members of the executive team,
3. Provides assistance to the Band Manager with human resources management,

• Executive presence including excellent communication and presentation skills, written and verbal, and ability to communicate at all levels within large organizations.
• Excellent client relationship management skills (on senior executive level and across all levels of an organization) and ability to develop a credible point of view on a variety of industry topics, acting as a trusted advisor and showing thought leadership.
• Demonstrated leadership, managerial and collaboration capabilities, particularly with those who are not direct reports as may be found in a matrixed organization.
• Knowledge of payment schemes, including products, processes, cards lifecycle management.
• Passionate, self-motivated, results-oriented individual with the ability to handle numerous projects concurrently.
• Fluent in English and Spanish.
