A successful Virtual Admin Assistant (VAA) possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. The incumbent will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Daily routine also includes interaction with various executive level internal clients across the lines of businesses. The VAA will need to adapt procedures, processes and techniques to complete assignments in line with the department’s activities and goals.

This role will specifically be responsible for supporting and helping to execute a suite of training programs within our client’s Wealth Management Training Strategy. Interest and skill in helping professionals become more productive and trusted Advisors and Solutions Specialists is paramount.

Main Duties and Responsibilities

  • Help support the development and implementation of the Client Skills training programs while also executing other various strategic initiatives to help the Wealth Management and Training Strategy unit achieve its objectives. This includes, but is not limited to:
  • Project management, budget, and vendor management
  • Event planning, coordination, scheduling, and execution of logistics
  • Respond to and anticipate needs before, during and after training programs
  • Complete various administrative needs such as: invoice processing, scheduling meetings with business faculty, printing, and ordering catering and materials among other logistical needs
  • Manage attendance information for events and ensure participation is tracked accordingly in our team records
  • Partner with other Program Coordinators to ensure consistent Program strategies and efficiencies where applicable
  • Propose process improvements and enhancements
  • Build solid relationships with key partners (e.g. administrative assistants, conference center planners, AV technicians, facility teams, and vendors)
  • Work with key control partners to ensure processes, suppliers, and content meets our standards
  • Do whatever it takes to get the job done!

Qualifications (Skills and Experience)

  • At least two years of administrative experience, ideally supporting at senior level
  • Demonstrated project management experience, including the ability to establish and meet timelines and multi-task on parallel deliverables
  • Patience, accountability, and a keen sense for detail
  • Strong organizational and time management skills; tasks, whether routine or urgent, are completed successfully and in a timely manner
  • Ability to trouble-shoot, and execute using keen problem solving techniques while being flexible in a changing environment
  • Upbeat, positive attitude
  • Strong interpersonal, written, and oral communication skills
  • Self-starter, ability to work in a fast-paced environment with limited supervision
  • Ability to work independently as well as part of the team to ensure that the needs of the group are always met and that adequate coverage is provided
  • Excellent multi-tasking skills, with the ability to handle stressful situations in a calm and professional manner
  • Document/report/presentation preparation
  • Calendar management/document organization
  • Skills include familiarity with widely-used software packages e.g. Word, Outlook, Excel, and PowerPoint, Zoom
  • Strong MS Excel proficiency, able to work through spreadsheets, Level 1 in VLOOKUP function is required
  • Working hours: New York City (EST) time zone starting at 8AM EST to accommodate a global team
