Marketing Assistant

EMAPTA is looking for a thick skinned Marketing Assistant to join our growing team.

As the Marketing Assistant, you will be reporting to the Manila Campaign Manager & Marketing Operations Manager.

You are expected to fulfil these Specific Objectives:

· To assist campaign coordinators with managing property campaigns for sales agents
· To be responsible for the creation, approval, and delivery of marketing materials, on behalf of sales staff, in accordance with clients’ and suppliers’ deadlines.
· Provide support to the sales agent throughout the entire sales process as a virtual customer service manager.


Corporate Policies
· Provide assistance to credit management or invoice reconciliation teams in relation to queries or disputes involving vendor, agent or supplier payments
· Provide details of campaign profitability to management on campaign completion

Campaign Management
· Ensure all campaign orders are created and booked in the Campaigntrack accurately and on time
· Prepare campaign quotes in Campaigntrack
· Check promotional deals booked ensuring supplier rules on new campaign bookings
· Communicate effectively to remind booking and supply deadlines with sales agents and their staff
· Ensure late bookings or artwork change requests are kept to a minimum
· Ensure a fast turnaround is provided with additional quality assurance checks
· Upload copy and photography into signage, print and advertising templates
· Approve and upload Internet pages to client and supplier websites
· Ensure approval of advertising copy, photography, floor plans and virtual tours for new campaigns is completed in accordance with campaign deadlines
· Co-ordinate the approval and sign-off of each marketing item within a campaign
· Liaise with print or media suppliers to make bookings on behalf of sales agents
· Provide final approval for bookings and material delivery on behalf of the local office
· Ensure EFFICIENT/effective communication and rectification of any delays, errors or problems
· Assist agents with sales proposal documents, reports, letters and data entry.
· Manage campaign calendar and ensure schedule is followed

Virtual Assistant Sales Support
· Assist agents in creating Appraisal/Listings
· Prepare campaign quotes in Campaigntrack
· Design marketing materials
· Upload necessary documents in Agentbox
· Checking of Compliance Files then send to FOM for approval
· Prepare OFI Kit (brochures, rental letters, contracts, pointers etc)
· Assist agents in creating Agency Agreements for a property
· Exchanging of Properties in AB
· Creating Sales Advise Letters for sold properties
· Other task as required to assist agent but would need prior approval

Relationship Management
· Establish good working relations with stakeholders, suppliers and advertising services, including local leaflet distribution houses
· The main liaison point with Strategic Studio Partner for the office on a daily basis

Brand Compliance
· Be the client brand custodian, promote and monitor staff adherence to guidelines
· To ensure approval is sort from the Brand Manager for out of template requests
· To ensure that copy and photography quality is maintained to brand standards
· Stay up-to-date with corporate marketing policies, procedures and guidelines

Marketing Quality Assurance
· Champion deadline protocols with sales agents and staff within local office
· Check the grammar and spelling of copy across all marketing and advertising
· Quality check the appearance of media advertising pre-placement in publications

Issue Resolution
· Report quality assurance issues, issues with marketing systems, such as usability, access or speed issues to Manager
· Raise awareness with Manager of issues relating to sales agent and their staff adherence to corporate policy, procedures or brand guidelines
· Assist to resolve any external or internal department marketing issues as required

[ ] Fresh Graduates are encouraged to apply, experience is a bonus but not required
[ ] Exceptional English language competency. Excellent verbal and written English  communication skills
[ ] High attention to detail, being very organised, able to manage own time
[ ] Ability to work under pressure and strict deadlines
[ ] Quality workmanship, attention to double checking before final output
[ ] Competent alphanumeric data entry skill
[ ] High attention to detail, good organization skills, and time management
[ ] Willingness to learn and work as part of a team

[ ] Exceed the expectations of sales agents and their staff within local office
[ ] Fulfill all key responsibilities as required
[ ] Display good attention to detail
