An Executive Office Assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executive
– Provides support to the Executive Assistant of the Chief Finance Officer
– Manages the flow of information to members of the executive leadership team
– Welcomes guests/visitors by greeting them, in person or on the telephone; answering or directing inquiries.
– Represents the executive by attending meetings in the executive’s absence; speaking for the executive.
– Substitutes Executive Assistant of the Chief Finance Officer when not around.
– Secures information by completing database backups.
– Writes letters and memos, compiles data for reports, creates computerized presentations, writes reports, transcribes dictation, edits, proofreads and other information preparation duties.
– Screens phone calls, opens and sorts mail, and summarizes reports and memos that are received before passing the information on to the people they assist. • Does airline bookings for both domestic and international destinations, hotel reservations, etc. of the Executives – Does hotel pre-check-in, airline pre-check-in, advance party for a resto/hotel meeting, guest escort, etc.
– Monitors every flight of the Executives
– Organizes special functions, social events, and family events
– Monitors incoming and outgoing mails for the Executives; receives mail and packages from couriers and delivers to the recipient • Assists CFO and other VIP guests
