Skills and Qualifications 

  • At least 2-3 years as an Executive or Administrative Assistant.   
  • Proficient in office management tools.  
  • Someone who can communicate, has initiative, and is proactive.  
  • Experience in the Engineering & Architecture Industry is a plus.

What You Will Do 

  • Prepare Meeting Minutes.  
  • Update a Dilapidation Report template with provided descriptions and photos.  
  • Issue Requests for Quotations to contractors and suppliers.  
  • Follow up with contractors and suppliers for quotations and shop drawings.  
  • Prepare purchase orders and variations for contractors and suppliers, using the provided descriptions and amounts.  
  • Assess contractors’ invoices against purchase orders and enter these into the system.  
  • Update the Handover Manual with contractors’ certificates and warranties, as instructed by Contract Administrator. This will involve obtaining information from contractors and suppliers and saving it in the designated folders.  
  • Save contractor’s quotations, drawings, and certificates in the designated folders.  
  • Update the Drawings Transmittal Register.
