Acquire BPO is currently looking for an Executive Assistant to support us, RingCentral: 

For the finance organization we are looking for a talented Executive Assistant supporting the Chief Accounting Officer and the SVP Finance. 

To succeed in this role you must have experience in: 

  • Provide administrative, organizational, and scheduling structure and support. 
  • Master executive meeting calendaring following logical cadences and dependent meetings 
  • Manage an annual calendar in Outlook and Excel 
  • Ability to problem solve on the spot 
  • Prepare T&E reports in accordance with company expense policy 
  • Organize events onsite and offsite, while staying within an agreed upon budget. Negotiate with vendors for best pricing related to the event. 
  • Regularly update organizational documentation, e.g. org charts, distribution lists, messaging channels 
  • Prepare and orchestrate all-hands meetings including technical logistics and PowerPoint presentation 
  • Initiate and respond to written and verbal correspondence, including composition, editing, and distribution. 
  • Orchestrate space planning and assignment for finance organization in Belmont, Denver and other locations 
  • Create and maintain a system for organizing and storing both electronic and hard-copy information and records and implement record retention policies and procedures. 
  • Operate, maintain and train other staff on the use of a variety of modern office equipment and programs, including computers, communication/recording equipment, storage systems, and media. 
  • Act as liaison between supervisor and department managers and represent and communicate issues and directives. 
  • Maintain appointment schedules and calendars, provide reminders as appropriate, and coordinate travel arrangements. 
  • Coordinate and organize meetings, including notification to prospective attendees, set-up, pre-and post-meeting correspondence, meeting minutes and records, and any required follow-up. 
  • Follow up on assignments given to management staff and provide status reports to the supervisor. 
  • Prepare a variety of complex reports, including attending meetings to gather information, conducting internet and other research, writing first drafts, and producing computer graphics. 
  • Prepare a variety of documents, requisitions, purchase orders, resolutions, and other correspondence. 
  • Review and summarize miscellaneous reports and documents and preparing background documents are necessary. 
  • Perform special projects and other duties as assigned. 

Desired Qualifications: 

  • Graduate of any 4 to 5-year College Course. 
  • At least 3 years of experience as an Executive Assistant 
  • At least 3 years of experience as an Admin Assistant 
  • Excellent English verbal and written Communication Skills 
  • Exceptional Probing Skills 
  • Excellent Comprehension and Listening Skills 
  • Willing to work at night
