· Answer and return phone calls and route or process accordingly.
· Assist in scheduling new clients with their first appointment or free consultation with the therapist.
· Coordinate intake appointments, register clients in therapy appointment software, and set up a reminder for their first appointment.
· Follow up on intake paperwork and upload into therapy appointment software prior to client’s first appointment.
· Check insurance coverages of new or existing clients to ensure services are covered as in-network provider.
· Assist with billing and invoices as assigned.
· Assist with projects as assigned i.e. certification, EFT, updating provider portal system, social media, and website accounts.
· Track referrals using excel and review weekly with the management team.
· Follow up on email inquiries received (psychology today, company website, insurance, and other related companies) and process inquiry accordingly upon consultation with the management team.
· Follow up on provider portals to ensure new referrals are assigned or scheduled for appointments accordingly.
· Assist in maintaining and managing social media accounts to update blogs, posting, and applicable update related to the business. (varies depending on business needs).
· Maintain a working understanding of the Health Insurance Portability and Accountability Act of 1996 (HIPPA) and any related compliance.
· Assisting in basic accounting and other administrative matters as necessary in the support of the practice.
