What You'll Do
Client Intake & Customer Service
- Answer and screen inquiry calls and emails from prospective clients.
- Conduct phone consultations to understand potential clients' needs and determine how our firm can assist them.
- Guide prospective clients through the intake and onboarding process.
- Deliver exceptional customer service while creating a positive first impression.
Client Enrollment & Documentation
- Assist clients with completing and signing required intake documentation.
- Process new client paperwork accurately and in accordance with firm procedures.
- Ensure all forms and supporting documents are complete, properly signed, and securely maintained.
- Maintain organized and accurate client records.
Client Relationship Management
- Build trust and establish strong relationships with prospective and existing clients.
- Manage client feedback and reviews while helping maintain a positive client experience.
- Support relationship-building initiatives with referral sources and community partners.
- Protect client dignity, confidentiality, and privacy at all times.
Communication & Coordination
- Understand each caller's needs and route inquiries to the appropriate department or team member.
- Communicate effectively with attorneys, case managers, and internal departments to ensure seamless client support.
- Assist with additional customer service and administrative responsibilities as needed.
What We're Looking For
Required Qualifications
- Fluent in both English and Spanish with excellent verbal and written communication skills.
- Minimum of 3โ4 years of experience in customer service, client support, call center, or a related client-facing role.
- Proven ability to provide outstanding customer service in fast-paced and sometimes stressful situations.
- Strong interpersonal skills with the ability to comfort and reassure distressed clients.
- Excellent multitasking, organizational, and problem-solving abilities.
- Ability to think quickly and make sound decisions while maintaining professionalism.
- Proficiency with Microsoft Office Suite, including Word and Excel.
- Comfortable using business software, CRM systems, and standard office equipment.
- Ability to adapt to changing priorities and workload demands.
Preferred Qualifications
- Experience working in a Personal Injury law firm, legal services, healthcare, or other professional services environment.
- Experience handling high-volume inbound calls and client intake.
- Familiarity with legal case management or CRM systems such as Filevine.
- Previous experience in client intake, admissions, or customer onboarding.
- Strong conflict resolution and de-escalation skills.
