The Payroll & Total Rewards Specialist manages end-to-end payroll processing and total rewards programs, ensuring accurate, on-time, compliant pay and competitive compensation/benefits structures. The role partners with Country HR teams and payroll vendors to meet enrolment timelines and SLAs, keeping documentation audit-ready.
Duties & Responsibilities
Payroll Processing
- Responsible for data management in the payroll system, including payroll bank enrollment and HRIS table updates per standard operating procedures.
- Ensures new hires, employee status changes, payroll adjustments, bonuses, incentives, and terminations are processed accurately and in a timely manner .
- Ensures accuracy of regular payroll computation — credits applicable time worked, incentives, and arrears; deducts accountabilities such as salary loans, advance payments, and company property losses.
- Responsible for final pay computation of separated employees, including preparation, release, and explanation of documents; maintains the final pay database.
- Ensures
timely remittance of government-mandated benefits and taxes (SSS, PhilHealth, HDMF, BIR) to appropriate government agencies.
- Ensures
timely processing of 13th Month Pay and leave conversion.
- Creates and recommends processes, procedures, and policies related to payroll processing and compliance.
Timekeeping
- Ensures accuracy of time tracking by coordinating closely with departmental leadership to prevent payroll disputes.
- Maintains and updates timesheets and attendance records; provides reports on attendance, tardiness, and overtime.
- Ensures compliance with company policies and government regulations on work hours and overtime pay.
Compensation & Benefits Administration
- Provides guidance in the creation and maintenance of competitive salary ranges for all positions in the company.
- Leads in the administration of total rewards and incentive programs;
assists in reviewing and analyzing compensation data for internal equity and external competitiveness.
- Processes applications and requests related to government-mandated benefits (SSS, PhilHealth, HDMF); monitors and updates online government portals.
- Approves government loans and ensures collection of loan amortizations via salary deduction and timely remittances.
- Keeps abreast of industry trends, mandatory requirements, and developments in total rewards, compensation management, and labor laws.
Reporting & Analytics
- Generates, gathers, and analyzes various HR and payroll data as needed by different units.
- Prepares and submits reports for internal and external clients in a timely and accurate manner.
- Ensures all payroll-related documents are properly filed in designated drives and audit-ready at all times .
Customer Service
- Attends to employee concerns, questions, and payroll-related issues in a timely and professional manner.
- Participates in onboarding of newly hired employees; conducts orientations on basic payroll functions and processes.
- Educates HR team members on total rewards processes, strategies, and programs.
- Coordinates with the HR Manager to verify information, present data, and discuss project status and updates.
Qualifications
- Bachelor’s Degree in Human Resources, Business Administration, Accountancy, Finance, Mathematics, or allied courses.
- At least 2 years of experience in payroll processing and administration, including timekeeping.
- Working knowledge of Philippine labor law, taxation (BIR), data privacy regulations, and government mandated benefits (SSS, PhilHealth, HDMF).
- Basic knowledge of accounting principles and best practices.
- Strong analytical and communication skills.
- Good project management skills.
