About The Role

Under general supervision of the Manager / Director of Clinical Engineering, the Business Office Associate provides administrative, financial detail accuracy, and operational support to the Clinical or Facilities Engineering Department. This role assists with budget management, purchasing, vendor coordination, contract administration, documentation, and data entry within the Computerized Maintenance Management System (CMMS). The position ensures timely and accurate processing of work orders, invoices, compliance records, and departmental reports to support the safe, effective, and efficient management of medical equipment across the organization.

  • Serve as the primary administrative point of contact for the Clinical or Facilities Engineering department.
  • Manage departmental communications, scheduling, and recordkeeping.
  • Maintain and update departmental documents, policies, and procedures.
  • Prepare correspondence, meeting agendas, and minutes as required.
  • Process purchase requisitions, and track purchase orders.
  • Verify and code departmental expenses accurately in accordance with budget categories.
  • Assist with capital equipment requisition requests.
  • Coordinate with vendors and supply chain to resolve billing or payment issues.
  • Maintain records of service contracts, renewals, and warranties.
  • Enter and update medical or facilities equipment records, work orders, and service events in the CMMS.
  • Assist with medical equipment inventory data accuracy initiatives.
  • Maintain contract files and ensure timely renewals and approvals.
  • Assist in vendor onboarding and credentialing processes.
  • Assist with documentation and reporting for The Joint Commission, CMS, and other audits.
  • Assist with regulatory compliance records for medical equipment management.
  • Assist with preparing data summaries and reports for Environment of Care (EOC) and Safety Committees.
  • Other duty as requested by Manager / Director of Clinical Engineering.

Education

  • High School Diploma or equivalent required
  • Associate degree Business Administration, Healthcare Management, or related field preferred

Experience

  • 2 years of administrative, accounting, or business support experience, in a hospital, clinical engineering, or facilities environment highly preferred

Other Desired Skills, Abilities, and Knowledge

  • Experience with CMMS software and Oracle ERP highly preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Attention to detail and accuracy in financial and data processing.
  • Ability to work independently and handle confidential information.
