JMA Resources is recruiting for this position in anticipation of a potential contract award. This position is contingent upon JMA Resources receiving the associated contract award and confirmation of final staffing requirements and funding.

Position Overview

The Operations Support Specialist provides administrative and program support for our client’s cybersecurity and IT activities. This role helps keep day-to-day operations organized by supporting documentation, scheduling, data tracking, metrics, access-related processes, and other program needs.

Responsibilities

  • Program & Administrative Support
  • Prepare presentations, reports, correspondence, forms, and other program materials.
  • Maintain project calendars and coordinate meetings, presentations, teleconferences, and travel.
  • Support word processing, filing, and other administrative activities.
  • Assist with System Access Authorization Request (SAAR) information and related documentation.
  • Documentation & Tracking
  • Maintain program correspondence, procedures, instructions, and supporting records.
  • Proofread and edit documents for grammar, formatting, and compliance with applicable Navy guidance.
  • Assist with developing process and procedure documentation in required government formats.
  • Maintain information in databases and tracking systems.
  • Develop spreadsheets, graphs, and metrics to support program reporting and management reviews.
  • Track man-hours, time, actions, and other required program information.
  • Access & Procurement Support
  • Process and track security badge and access card requests in accordance with client procedures.
  • Support security badge information entry and required documentation.
  • Review NAVITAS purchase requests against applicable Department of the Navy policy and requirements.
  • Enter purchase requests into the appropriate system of record.
  • Carry out other related duties assigned to support evolving client, project, and company needs.

Clearance Level

  • Current or ability to obtain a Department of Defense (DoD) Secret Clearance is required. Note: To obtain a security clearance, you must be a U.S. citizen and meet the 13 adjudicative guidelines.

Required Qualifications

  • Experience:
  • At least 5 years of experience providing programmatic or administrative support, including experience with:
  • Reviewing policies and directives and presenting assessments.
  • Developing and tracking metrics.
  • Preparing correspondence, reports, forms, and presentations.
  • Word processing, filing, and tracking man-hours/time.
  • Coordinating travel, meetings, and teleconferencing services.
  • Education/Certification:
  • Associate’s degree in business, computer science, or information technology.
  • Skills:
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat.
  • Strong document preparation, proofreading, editing, and formatting skills.
  • Strong organization and attention to detail.
  • Ability to manage calendars, meetings, travel, and multiple administrative priorities.
  • Ability to work with databases, tracking systems, spreadsheets, and metrics.
  • Customer service experience

Location & Commitments

  • Position: Full Time
  • Work Arrangement: Hybrid – On-site at our client site in Philadelphia, Pennsylvania. The number of days on-site will be determined by client needs after hire.
  • Travel Requirements: May be required
  • Location Preference: Prefer candidates within a 50-mile radius of Philadelphia, Pennsylvania.
  • Work Hours: A typical workday consists of eight hours, totaling a forty-hour workweek. We understand that there may be times when employees will need to adjust their work hours due to client needs or personal reasons. To help balance these demands, we offer some flexibility in work schedules.
