About The Role
The Vice President and Chief of Staff (CoS) for the President at The University of Texas Health Science Center San Antonio, also called UT Health San Antonio, represents the interests and priorities of the President and the Office of the President through the coordination and advancement of the President's initiatives and priorities. This position is both internally and externally facing and coordinates with local, state and national government representatives as well as the members of the Board of Regents and the University of Texas System requiring an executive with outstanding communication abilities and the ability to operate with the highest level of diplomacy. Reporting to the university President, the CoS is a key member of the University's executive team and collaborates with Vice Presidents, Deans and other leaders in a team-based environment. This role independently manages important and highly sensitive matters, requests on behalf of the President and works closely with key internal and external stakeholders. The CoS oversees the operations and supporting employees of the Office of the President to ensure there is highly responsive and exceptional service offered to all who interact with the Office. This role also includes helping the President prioritize and make the best use of their time, provides strategic and analytical support to the President, manages certain special projects end to end, and helps the President's Office and extended executive team function as effectively as possible. The CoS, in partnership with Vice Presidents, Deans, other leaders and faculty, interacts with numerous community partners who collaborate with and promote UT Health (examples include United Way, American Heart Association, The Alzheimer's Association, the local Chambers of Commerce, BioMed SA, The Health Cell, and the San Antonio Medical Foundation). This position serves as a key brand ambassador for UT Health San Antonio and the Office of the President.
- The Vice President and Chief of Staff (CoS) manages the hiring, training, mentoring, supervision, evaluation, promotion and termination of employees of the President's Office, and collaborates closely with the Office of the COO, Office of Marketing and Communications, and Office of Institutional Advancement. This position also oversees the mission, priorities and budget of the Office of Recruitment and Science Outreach.
- Assists the President to prioritize and make the best and most efficient use of time. Assists with fielding and follow up of incoming requests, issues, and decisions, helps prioritize which responses and actions are needed when and tracking and coordinating the various efforts. Creates and manages various tracking systems that enable the President to stay on top of key priorities.
- Plans and directs all administrative, financial and operational activities for the Office of the President. Organizes and prioritizes critical issues and required information to facilitate efficient decision making.
- Provides oversight and guidance to projects of high importance. May act as a chief advisor to the President.
- Acts as a point of contact between multiple stakeholders. Serves as one of the main contacts for UT System. Interacts with university leaders, faculty, staff, students, alumni, elected officials, other community leaders and patients to advance the President's and University's missions and goals. Ensures accurate, proper and timely flow of information.
- Ensures effective planning of presidential activities and special events (both internal and external). to include welcome to new leaders, retirement receptions, Presidential Awards, holiday events, visits by VIPs, speakers for graduation events and coordinating the selection of annual Presidential Ambassador Scholars. Proactively plans by requesting information in advance of meetings, preparing meeting materials, and completing any follow up needed. Inclusive of planning for visits by UT System Chancellor, Executive Vice Chancellor for Health Affairs, Regents and other dignitaries.
- Collaborates with data and functional owners, researches and provides information, written remarks and prepared talking points for presentations and other Presidential communications and announcements. Plans, coordinates and prepares agendas for monthly Executive Committee and President's Cabinet meetings.
- Represents the President and UT Health San Antonio at community events as needed. Engages with area nonprofits, including determining which non-profits the organization should partner with and at what level. Oversees the annual State Employee Charitable Campaign.
- Serves as the conduit for external groups who want to visit UT Health San Antonio; assists with enlisting speakers and organizing informative and successful visits.
- May serve as an executive liaison for local chambers of commerce and management of chamber and other organizational memberships.
- Serves as the internal liaison/coordinator and mentor for the following groups/programs: Staff Emergency Fund; Association of Retired Faculty and Associates (ARFA); and Gifts for Children.
- Oversees Patient Navigator/requests to President's Office for assistance with medical, dental or nursing appointments in coordination with the clinical practice representatives. CoS serves as back up to Patient Navigator.
- Coordinates campus' involvement with community-wide activities with the help/guidance of others. Coordinates with the Office of Human Resources on employee service award events and recognition.
- In partnership with the Office of Human Resources, manages and oversees the search process for Deans and VPs directly reporting to the President as needed. This includes collaborating with selected search advisory committee chair, selected search firm, and other key stakeholders to ensure a seamless and successful search process.
- Manages the University's social club memberships.
- Oversees the scheduling, technical upgrades and maintenance of Presidential conference rooms and President's suite of offices.
- Serves as one of the administrators of UT Health's emergency text messaging system, HSC Alert.
- Oversees the compilation of various reporting documents to the State of Texas relative to the President (ex: President's Annual Personal Financial Statement.)
- Oversees the updating and maintenance of HSC Contacts, an app which includes contact information for university leadership.
- Manages, tracks and promotes Engaged, the University-wide community service program and platform.
- Performs other duties as assigned or determined necessary to support the President and UT Health San Antonio.
- Minimum of Bachelor's Degree required
