About The Role

We're looking for a detail-oriented and organized Attendance Analyst to join our team. This is an 18-month contract based primarily at the Oakville Trafalgar Memorial Hospital , in Oakville, Ontario, and is hybrid dependent on organizational needs.  Travel to other sites may be required from time to time.

Reporting to the Manager, Disability & Absence Management , the successful candidate will be responsible for managing and analyzing employee attendance data, maintaining accurate records, and supporting the organization’s compliance with attendance policies and the Attendance Management Program (AMP). The role will involve working with multiple data sources and systems to identify attendance trends, ensure data integrity, prepare reports, and support informed decision-making. The ideal candidate will have strong analytical and organizational skills, exceptional attention to detail, and the ability to manage multiple priorities while working efficiently with confidential employee information.

The Attendance Analyst will be responsible for

  • AMP Coordination
  • Lead the administration of the corporate AMP, including supporting excessive incidental absenteeism (1–3 day absences).
  • Review daily absence reporting and take appropriate action.
  • Coordinate attendance review cycles, including data validation, letter distribution, and providing guidance.

 

  • Consultation and Employee Support
  • Act as the primary internal resource for attendance-related inquiries from employees, leaders, other areas within the Human Resources team, and union representatives as appropriate.
  • Provide guidance to employees experiencing attendance challenges.
  • Collaborate with Disability Management Specialists to support the Short-Term Disability process where required.

 

  • Data Analysis and Reporting
  • Conduct bi-weekly attendance audits to ensure data accuracy and appropriate exclusion of special consideration absences.
  • Generate regular and adhoc attendance reports, dashboards, and trend analyses to support operational decision-making.
  • Coordinate monthly, quarterly, and annual attendance statistics and departmental analytics.

 

  • Education and Continuous Improvement
  • Deliver education sessions for leaders and employees regarding AMP.
  • Promote best practices that support employee wellness and organizational attendance goals.

Applicants should possess

  • Post-secondary degree, diploma, or certificate in a relevant discipline.
  • Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP/XLOOKUP, data analysis, and report generation.
  • Demonstrated experience with data management, reporting, and analysis, with the ability to identify trends and draw meaningful conclusions.
  • Strong organizational skills and attention to detail, with a demonstrated commitment to accuracy and data integrity.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively with employees, leaders, Human Resources, and union representatives.
  • Knowledge of attendance management practices and applicable employment standards considered an asset.
  • Experience using Parklane and Meditech is considered an asset.
  • Experience with Microsoft SharePoint, Forms, and Lists is considered an asset.
