Role summary

As a Client Service Manager, you will act as the primary relationship manager for a portfolio of alternative investment funds and their stakeholders, ensuring the highest standards of client service, governance, and regulatory compliance. You will work closely with clients, fund delegates, internal teams, and boards to oversee day-to-day fund operations, coordinate key governance activities, and support the delivery of AIFM services. This is a highly visible role that combines client relationship management, operational oversight, and regulatory coordination to ensure funds are managed efficiently and in line with applicable requirements.

Key responsibilities

  • Work proactively on a portfolio of clients to support the daily activities of the funds under management.
  • Act as main point of contact for the clients for day-to-day activities and resolution of any fund-related queries.
  • Set-up and lead AIFM service review calls with clients to maintain a strong relationship.
  • Establish and maintain excellent relationships with each of the fund delegates including portfolio managers, investment advisors, administrators and depositaries, including participation of service provider quality calls.
  • Ensure compliance with internal and external processes.
  • Maintain the Fund corporate calendar and monitor compliance with deadlines according to Fund corporate calendar and internal procedures.
  • Update internal database on clients (static as well as dynamic) data by liaising internally with counterparties to verify and/or collect the required information.
  • Ensue all funds have up-to-date policies and procedures that reflect on-going regulatory developments and any other requirements as determined by the Fund Boards, including the Operating Memorandum.
  • Liaise with internal teams to ensure compliance with internal procedures and their proper documentation, i.e. populate checklists, AML forms, UBO forms and other fund related reports with the support.
  • Ensure all investor subscription documents incl. side letters are saved on client folder.
  • Manage investors side letter matrix and resolve any gaps on responsible parties or approaching deadline.
  • Where FundRock LIS acts as corporate secretary, liaise internally to collect Board pack relevant reports from internal departments and lead through the Board Meeting Agenda.
  • Present AIFM reports in the Board Meeting.
  • Preparation of reports for Senior Management Committee (Conducting Officers), Board of Directors of the Fund/Management Company.
  • Prepare cash payment instructions for review and signature by the Client Service Manager.
  • Preparation of presentation materials for physical client visits.
  • Calculate and review client fees, create invoices and manage timely payment.
  • Support with ad hoc projects.

Skills Required

  • Academic degree, preferably in Finance or Economics.
  • Experience in the financial sector is of advantage.
  • Keen to further develop your practical knowledge of laws and regulations applicable to financial services, both within Luxembourg and other jurisdictions.
  • Strong commercial awareness, analytical and communications skills.
  • Good working knowledge in MS Office suite.
  • Fluent in English with excellent written and oral communication skills.
