Job Description

As an Administrative Assistant, you’ll be the backbone of our operations, ensuring smooth day-to-day functioning while supporting our creative team. You’ll manage communications, conduct vital research on potential building sites, and assist with financial tasks. This role offers a unique blend of administrative duties and involvement in the property design process, providing an exciting opportunity to grow your skills in a fast-paced, creative environment.

Responsibilities

  • Manage and organize email communications, responding to basic inquiries and filtering important messages
  • Handle calendar management, scheduling appointments and coordinating meetings
  • Conduct thorough research on specific properties and building sites, following established company processes
  • Perform basic reconciliation and invoicing tasks using Xero accounting software
  • Join client meetings via Zoom, taking detailed notes to support project progress
  • Assist with general administrative tasks, supporting the team’s efficiency and productivity

Requirements

  • Excellent organizational skills with the ability to manage multiple tasks efficiently
  • Strong written and verbal communication abilities
  • Proficiency in email management and calendar scheduling tools
  • Basic understanding of accounting software, preferably Xero
  • Ability to conduct online research effectively and accurately
  • Familiarity with Zoom and experience in taking comprehensive meeting notes
  • Attention to detail and ability to work independently in a remote setting
  • Enthusiasm for learning about property design and development processes
  • Familiarity with managing social media (IG) a plus
