Job Description
As an Administrative Assistant, you’ll be the backbone of our operations, ensuring smooth day-to-day functioning while supporting our creative team. You’ll manage communications, conduct vital research on potential building sites, and assist with financial tasks. This role offers a unique blend of administrative duties and involvement in the property design process, providing an exciting opportunity to grow your skills in a fast-paced, creative environment.
Responsibilities
- Manage and organize email communications, responding to basic inquiries and filtering important messages
- Handle calendar management, scheduling appointments and coordinating meetings
- Conduct thorough research on specific properties and building sites, following established company processes
- Perform basic reconciliation and invoicing tasks using Xero accounting software
- Join client meetings via Zoom, taking detailed notes to support project progress
- Assist with general administrative tasks, supporting the team’s efficiency and productivity
Requirements
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Strong written and verbal communication abilities
- Proficiency in email management and calendar scheduling tools
- Basic understanding of accounting software, preferably Xero
- Ability to conduct online research effectively and accurately
- Familiarity with Zoom and experience in taking comprehensive meeting notes
- Attention to detail and ability to work independently in a remote setting
- Enthusiasm for learning about property design and development processes
- Familiarity with managing social media (IG) a plus
