Job Role Qualifications:
- Graduate / Post Graduate (Preferably Commerce / Financial background).
- 2 to 3 years of relevant working experience, preferably in clients coordination, mobility operational and billing/invoicing. However, other client and team handling experience will be considered as well
- Good teamwork, interpersonal, communication, critical thinking, problem solving and time management skills
- Able to demonstrate resilience, self-motivation and a positive can-do attitude
- Hard working and committed to completing tasks well with good attention to detail
- Demonstrate strong client service skills and good business acumen
- Good written and spoken English
- Ability to work effectively and adapt quickly in a fast-paced changing environment.
- Must be flexible with long working hours and weekend working if required.
- Experience with Google suite of products and Microsoft office is an asset.
We are seeking a candidate who will work with the Canada Tax & Immigration Engagement Management Services team to support the day-to-day engagement administrative activities.
This role is 100% on-site at the assigned Vialto Partners office.
Engagement Support Services Overview
- Understand and draft global mobility Engagement Letters/ contracts
- Understand the process Quality and Risk, review the process and reconcile the document before finalizing it.
- Onboard and set up new Clients in Vialto system
- Responding to client inquiries, and providing guidance on specific matters.
- Preparation of reports and tracking. Collaborate with onshore team – Reporting / MIS / Billing / KPI / Dashboard / Issues / Queries / Etc.
- Operational/ administrative support to clients for their mobility assignment, help setting up assignment briefing calls.
- Preparing and raising invoices for the services rendered.
- Reconcile the invoices received from the network office for the services rendered and approve/dispute it.
- Printing and assembling Tax Return (TR) packages. E-filing income tax returns online and Submitting various forms to tax authorities by mailing out a physical package.
- Review of International assignment initiations form and identifying the required services based on assignment and the agreements with respective client
- Drive and coordinate with home and host location tax service provider to provide applicable service such as tax briefing, tax returns, CoC and or payroll
- Monitoring the services milestones and reporting on status
- Adherence to Service level agreement (SLA) / Turn around time (TAT) and Country regulatory deadlines
- Keeping track of the assignment and the services that been rendered
- Preparing tax return eligibility/authorization list & deploy global tax questionnaire
- Ensure work done is within the budget and deviations have valid explanations
Key Responsibilities
- Design process and program improvements to address business needs and improve efficiency and client satisfaction. Design and plan the roll-out of service changes.
- Develop subject matter expertise on the global operations within a variety of service areas, to facilitate meaningful and effective partner discussions.
- Work closely with delivery teams to develop and maintain resource documentation, including process mapping, training materials and knowledge management with a consideration for global needs.
- Advise seniors on risks, dependencies, timing, or technology considerations supporting a multi-year service roadmap.
- Coach others, recognise their strengths, and encourage them to take ownership of their personal development.
- Analyze complex ideas or proposals and build a range of meaningful recommendations.
- Use multiple sources of information including broader stakeholder views to develop solutions and recommendations.
